Summary

The duties of this job require a high degree of specialized expertise and skill in maintaining established standards of quality and accuracy. The job environment is structured and job expectations are clear. While the pace of the work is faster than average, quality is never compromised. The focus of communication and organizational relationships is based on technical expertise. The work requires specialized technical problem solving and ingenuity while working within approved organizational systems and technology, and the demonstration of the values of integrity, quality and caution. New ideas and concepts are also important but will be carefully analyzed before communication and adoption. When the job involves managing others, there is a need to exercise the necessary authority to assure policies and procedures are followed and time frames are met. At the same time, it will be necessary to give others structured opportunity to develop their own expertise and capability for quality work to assure effective delegation and shared responsibility for work output. It is expected that coaching and training support for achieving effective delegation will be required. The position encompasses a defined span of control and opportunity for someone who engenders trust, demonstrates a sense of urgency and assures consistent achievement of quality standards. The work requires making decisions that support company guidelines authoritatively and quickly.

Job Duties & Responsibilities

  • ·         Report daily to the Senior PM and PM for assigned tasks and project updates.

  • ·         Assist in tracking and updating work order dates in Innergy.

  • ·         Maintain organized documentation of NPP work orders and procurement updates, and project correspondence per the SOPs.

  • ·         Coordinate with vendors to track material orders and follow up on delivery statuses.

  • ·         Support document preparation for project planning, coordination, and execution meetings.

  • ·         Ensure proper documentation of project correspondence per the Project Documentation SOP.

  • ·         Assist in preparing change orders and ensuring compliance with the Change Order SOP.

  • ·         Review shop drawings for completeness and alignment with project scope and requirements before submission.

  • ·         Attend weekly one-on-one meetings with the Senior PM for training and task review.

  • ·         Assist in maintaining budget and cost tracking for smaller project components.

  • ·         Participate in biannual performance reviews with the Senior PM.

  • ·         Ensure all work aligns with project compliance and scope accuracy

  • ·         Verify document accuracy and resolve discrepancies.

  • ·         Secure contract approvals before releasing work orders or purchase orders.

  • ·         Oversee shop drawing review for compliance and alignment.

  • ·         Identify and document Pre-Build & Store (PB&S) items, ensuring alignment with project specs and procurement timelines

  • ·         Coordinate PB&S tagging, warehouse storage, and stakeholder approvals

  • ·         Schedule pre-build meetings with key departments.

  • ·         Send an introduction email to clients, introducing the project team and Director.

  • ·         Ensure all team members have access to project management tools and software.

  • ·         Conduct a pre-handoff meeting with Sales and Estimating teams to review project challenges and expectations.

  • ·         Good communication is required

Education

·         Two-year degree, or higher, from a technical school, college or university is required

·         Relevant experience can be considered as an equivalent to a degree

 

Experience

·         2 or more years’ experience within the woodworking, manufacturing, or construction industry is preferred

·         Prior experience in and strong business knowledge of the construction and/or woodworking industry preferred.

 

Computer Requirements

·         Project Management requires a high level of proficiency in each of the following software programs:

o   Project Management software – Innergy

o   Drawings software – Bluebeam

o   Spreadsheet software – MS Excel

o   Word Processing software – MS Word

o   Email & Calendar software – MS Outlook

o   Internet software – Windows/Internet Explorer, Google Chrome

Language & Mathematical Skills

·         Ability to effectively present information and respond to questions from groups of managers, employees, customers, and vendors.
